Air Conditioning Heating Source LLC has established the following policies to help serve you better. By placing an order with Air Conditioning Heating Source LLC you agree to have read and comply with all Air Conditioning Heating Source LLC policies listed below. The Terms and Conditions apply to all telephone, mail, fax and internet orders. CANCELLATIONS: If you place an order and cancel it within 24 hours and prior to equipment being shipped, we will refund your purchase price less a 20% processing/restocking fee in the same method which payment was made. (ex: credit or debit card or for all other payment methods a company check will be issued). We dislike charging the processing/restocking fee but when an order is placed we become obligated to begin the fulfillment of the order. Due to the size, weight and shipping complexities with the equipment involved, this creates a substantial expense that includes invoicing our supplier, making appropriate delivery arrangements to our facility if the item is not stock, wrapping, palletizing and labeling the order, preparing a Bill of Lading and contacting the carrier for pickup. We do this because when an order is placed by a customer we become obligated to begin the fulfillment of that order. Expenses incurred because of cancelled orders must be absorbed by that customer and not passed along to customers who fulfill their orders. Please be certain that your order is correct and you have addressed all pertinent issues related to your selection prior to placing the order. If your equipment was a non-stock item or a special order item, you cannot cancel your order in order to obtain a refund. REFUNDS AND RETURNS: In the event that you need to return your order, we will refund your purchase price less round trip shipping* and handling** plus 20% of the total purchase price for a processing/restocking fee provided you meet following criteria. Call and obtain a pre-approval and authorization for your return within 5 calendar days. No returns will be accepted without prior approval from Air Conditioning Heating Source LLC. The original box or boxes must be neatly taped with clear tape ONLY and all manufacturer documentation must be included (specification sheets, installation guides and warranty information). Do not affix shipping labels directly to the box or container of any item being returned. Wrap the original shipping box or container in plastic or paper and affix shipping labels to this wrapping so that removal of any wrapping or packaging required to complete a return does not in any way scar or mark the original box or container. The equipment must be in like new condition; the original boxes must be in the same condition as when received and the equipment must not have been installed. Any equipment items outside the dimensional or weight criteria for standard ground services must be returned by way of common carrier. The customer is responsible for any and all arrangements necessary to complete the return. The customer agrees to comply with customary packaging and safeguards to ensure that the item can be properly handled by the returning carrier. If damage should occur in transit from the customer to our facility we will note the delivery receipt and provide a copy of such to customer. In this case, any refund due to customer will be reduced by an amount to be determined by Air Conditioning Heating Source LLC. This determination shall be based on our estimate of the repair or actual salvage value and such value may be reduced to zero. Such value depends on the actual condition at the time the item is received by Air Conditioning Heating Source LLC. If you disagree with our value determination you have the option of having the item returned to you plus cost of shipping and handling. The value of all items returned to our facility shall be considered conditional until inspected by Air Conditioning Heating Source LLC. Once we determine that the item or items have been returned in as new condition, a credit will be issued to the customer in the same manner as originally received by Air Conditioning Heating Source LLC from the customer, less any pertinent processing/restocking fees or other fees as may be determined by the condition of the item returned. Air Conditioning Heating Source LLC at its sole discretion will accept returns of equipment for a period of 5 days after the original purchase date. Any returns after the 5 day period will be at the discretion of Air Conditioning Heating Source LLC. This policy covers both system and/or all supplies. Return shipping and handling is the full responsibility of the purchaser. Air Conditioning Heating Source LLC will impose a processing/restocking fee of 20%. Refunds will be credited in the same manner in which payment was received (ex: credit or debit card, or for all other payment methods a company check will be issued). Please allow 2 to 3 weeks for refund from the time Air Conditioning Heating Source LLC receives your returned equipment. Prior to receiving any credit you will be required to sign the Return Refund form as shown in the following facsimilie. We do like to stand behind our parts quarantee, however when a part is returned stating it is defective, our company puts that product to the test. In order to provide the best service, we test all returned parts for defects. If the part you returned is not defective but reveals used condition, we will return 50% of the purchase price in addition charge the 20% processing/restocking fee and shipping and handling charges. Please do not try to return your old/used/defective parts with the claim that the new part was defective. We do have all parts marked and date coded for your protection and ours. We do not accept shipments marked "return to sender". All electrical parts and/or components are non-returnable. Non-stocking or special orders are non-returnable. * Shipping charges consist of the price and miscellaneous labor charged by the shipper to deliver parts and/or equipment in a timely manor to the customer. Handling charges consist of labor and miscellaneous charges to prepare the order and deliver to the shipper for delivery. DEFECTIVE PARTS: Any defective part that is returned will be replaced by a new part only of the same item. No refunds or credits will be issued on defective parts. Replacement of that same part only. Any defective part returned after the ten (10) day period will be accepted at Air Conditioning Heating Source LLC sole discretion. No third party expenses such as service calls, labor fees, diagnosis fees, etc will be incurred by Air Conditioning Heating Source LLC. ORDER FULFILLMENT: Incorrect items or short shipped items listed on the signed invoice must be reported to Air Conditioning Heating Source LLC within 3 business days of the receipt of the shipment. Shortages that are not noted on the signed delivery receipt will not be accepted by Air Conditioning Heating Source LLC. However, if the error was Air Conditioning Heating Source LLC, we will be responsible for return and replacement shipping costs. Occasionally any obsolete parts ordered will be replaced with an equivalent or better replacement. FREIGHT INSPECTION: All equipment shipped from Air Conditioning Heating Source LLC is inspected by a technician. We take great care in the shipping of your new system to ensure safe delivery to your home or office. It is required that you inspect your shipment immediately upon arrival with the delivery driver. Once you have signed the delivery receipt it becomes an official document as to the condition of the products at delivery. Air Conditioning Heating Source LLC is not responsible for the damages that occur during the shipping but we will assist to correct any situation that may occur. Freight damage is very rare but it can happen. All freight damage must be noted immediately on the delivery receipt. Do not wait to open your shipment as it will make it more difficult to file a claim. Please make sure that you carefully inspect your delivery. Freight damage claims must be made against the common carrier. AVAILABILTY: If a product is not in stock when you place your order, Air Conditioning Heating Source LLC will do our best to let you know. We will also provide the best estimate of when the product will be available. Anticipated delivery dates are dependent upon our suppliers and other factors beyond our control and are subject to change. The availability information presented on our website is the most up to date information we have, however errors do occur and this information does not represent a guarantee or promise of availability. PRODUCT INFORMATION: Air Conditioning Heating Source LLC's ability to keep product information accurate and up to date is limited by manufactures and other industry sources ability to provide product information. Air Conditioning Heating Source LLC makes no warranties, express or implied as to the accuracy of the date supplied via website or through any written, faxed or verbal form. EQUIPMENT INSTALLATION: As the buyer you agree to follow all local, state and federal laws that are related to the installation and operation of any and all equipment and or parts from Air Conditioning Heating Source LLC. An HVAC contractor must have a state license and must be fully insured before they or their employees can charge you for work on your cooling and heating system. Laws concerning licensing and insurance were created to protect you, the consumer. Contractors carrying licenses must follow and are responsible to see that their employees follow the mechanical codes which have been written to protect the consumer's equipment and home. Since you will be using a certified contractor or HVAC technician, the industry standard is a one year labor warranty from the installing contractor. We also recommend that you consider purchasing a maintenance agreement from your installer to ensure efficient operation of your unit through the use of annual cleanings and inspections. Their knowledge and preventative maintenance care can prolong the life of your new unit. Air Conditioning Heating Source LLC does not in any way recommend or promote do-it-yourself installations. Purchasers must use a state certified installer/contractor to install their equipment purchase from Air Conditioning Heating Source LLC. Otherwise, purchasers will void all manufacturers' warranties and could cause harm to their equipment, themselves and their property. Air Conditioning Heating Source LLC does not provide installation of equipment and it is your responsibility to obtain a certified licensed contractor in your area to perform the installation of your new equipment. We recommend that you make these arrangements prior to ordering your equipment. EPA NOTICE: Purchaser hereby acknowledges that federal law prohibits opening the refrigeration lines of any equipment purchases. A properly licensed technician must handle the refrigerant contained in any unit/system. Purchaser hereby assumes full responsibility for the safe and proper installation in accordance with applicable local code requirements. EQUIPMENT SELECTION: Air Conditioning Heating Source LLC does not guarantee or accept responsibility for the merchantability or fitness of the equipment for any particular application. Any suggestions that may be provided by Air Conditioning Heating Source LLC concerning system sizing and/or selection are subject to an onsite inspection by a knowledgeable professional to confirm suitability and fitness for your particular project. LIABILITY: Air Conditioning Heating Source LLC cannot be held liable for damages consequential or inconsequential, resulting from the installation or operation of equipment. Any equipment purchased from Air Conditioning Heating Source LLC is not intended to be installed by anyone without the proper expertise, background and certification. Customer accepts all risk for both installation and equipment selection. We strongly encourage an on site inspection by a certified professional. Our advice is the result of information obtained by you and is limited in that Air Conditioning Heating Source LLC does not have full knowledge of the details and scope of your particular needs. Air Conditioning Heating Source LLC will do our best, given the limited circumstances under which our advice is administered, to provide you with accurate and up to date information. In the event that legal action is initiated by either party, (the customer or Air Conditioning Heating Source LLC) the point of venue shall be Clermont County, Ohio. Any liability for consequential and incidental damages is expressly disclaimed. Air Conditioning Heating Source LLC's liability in all events is limited to, and shall not exceed, the purchase price paid. WARRANTIES: Air Conditioning Heating Source LLC does not provide a labor or parts warranty of any kind. All parts warranties are through the manufacturer and their distribution channels. By the installing contractor a labor warranty of one year is a standard in the industry and you should inquire about this with your installer prior to employment of said installer to install your new HVAC system. Should you require replacement parts during or after install, have your installer handle this process, as they should replace the warranty parts through a local parts supplier that sells the product brand name you have purchased. All systems have a manufacturer's limited parts warranty while labor is not covered under this warranty. Warranties will vary by SEER rating, efficiency rating and manufacturer, please check each product page for manufacturer's warranty. In the rare event that your installer cannot or will not replace the part under parts warranty, contact Air Conditioning Heating Source LLC and we will attempt to assist you in the acquisition of the warranty part through our distributors. Air Conditioning Heating Source LLC will provide this service for an administrative fee of $30.00 plus all shipping and handling. You will be charged the full price of the new part up front plus shipping and handling and will receive credit for the core part (not shipping) once the replaced part is returned and received by us. Air Conditioning Heating Source LLC will require the receipt for installation from your licensed installer in order to obtain this service. If you have any questions about this policy, please ask us prior to making your purchase. You enter into this agreement with the full understanding that Air Conditioning Heating Source LLC has no obligation whatsoever as to labor or parts warranty at any time. You are purchasing this system with the full understanding of and agreement to our policies contained herein. SHIPPING POLICY: After receiving your order it will be carefully prepared for shipping by way of common carrier. All shipments will normally arrive at your specified location within 3 to 10 business days. Items not in stock or special orders will take a little longer. All orders are shipped fully insured as occasional damage may occur. You must carefully inspect your equipment at the time of delivery with the driver present. The carriers will not accept damage or shortage claims without a notation on the delivery receipt that damage or shortage exists. Once an order leaves the shipping dock it officially becomes the property of the consignee with all obligations attached. In no event shall Air Conditioning Heating Source LLC be responsible for damage incurred once the order leaves the facility. We will assist in the claims process for the damage noted at the time of delivery providing the customer submits a copy of the noted freight bill with the delivering driver's signature to Air Conditioning Heating Source LLC. In the event of severe damage noted at delivery, Air Conditioning Heating Source LLC will, at its sole discretion, file a claim with the carrier for the value of the damage or replace the damaged item. All determinations of repair value by Air Conditioning Heating Source LLC shall be final unless additional information is supplied to us that was not previously submitted by the customer. Damage not noted by the consignee at the time of delivery will in no way alter any previous agreements between the customer and Air Conditioning Heating Source LLC, regardless of value. In the event of damage not noted at delivery, concealed or otherwise, our sole liability shall be to assist the customer in obtaining a claim form to be filed with carrier. In the event that you receive your order with evident damage, immediately inspect it to determine if it is cosmetic or severe enough to affect the system performance. If damage is only cosmetic, you may accept the delivery and we will provide you with an estimate to repair the damage along with a carrier claim form for reimbursement. In the event that the damage is severe, simply refuse the damaged portion and we will immediately ship a replacement to you at no charge. Claims for damage must be submitted in writing to the delivering carrier and Air Conditioning Heating Source LLC within 10 calendar days from the date of delivery to be considered for reimbursement. Claims initiated after 10 calendar days will not be considered or assisted by Air Conditioning Heating Source LLC. Orders shipped outside the state of Ohio are non-taxable by Air Conditioning Heating Source LLC; however you may need to file a Use tax with your State Department of Taxation. Ohio residents please add appropriate sales tax for the county in which you reside. Air Conditioning Heating Source LLC will only ship within the Continental United States. ORDER PROCESSING:** Air Conditioning Heating Source LLC strives to have all stock equipment leave the warehouse within 3 to 4 business days. All items on our web site are normally in stock. However, Air Conditioning Heating Source LLC will not ship damaged equipment of any type; some equipment coming from the receiving truck may be refused and re-ordered if damaged. This may delay some orders in that case. This is very seldom but it does happen. Credit or debit cards are charged at the time of order as orders are sent quickly to the warehouse. If you need to cancel or modify an order, you must call our office by 5:00 pm EST the day of order and speak to a representative. After that time, order cancellation charges will apply. If the order has not been shipped this fee will be 20% of total order. If the order has been packed and not left the location the fee will be 20% plus a $35.00 packaging materials fee. If the order has left the warehouse the fee will be 20% plus a $35.00 packaging materials fee and all freight costs for outbound shipping to current terminal location and all return freight to return the order back to Air Conditioning Heating Source LLC. Please keep this in mind when placing your order. Processing orders involves time and resources to get our orders out as quickly as possible to serve all our customers in a timely manner. Please do not schedule your installer until you have received your equipment at your specified location. Air Conditioning Heating Source LLC cannot be responsible for missed appointments due to delay in equipment delivery. We make every effort to ensure prompt delivery but due to the nature of carrier freight some delays may happen from time to time. These include weather delays. Equipment selection is the sole responsibility of the buyer. Air Conditioning Heating Source LLC can give general assistance but without being on-site this can be difficult. The best way to determine what is needed is to ask your installer to review your equipment and assist in your Air Conditioning Heating Source LLC equipment selection. Air Conditioning Heating Source LLC is not responsible for equipment type and selection of orders.

Laws concerning licensing and insurance were created to protect you, the consumer. Contractors carrying licenses must follow and are responsible to see that their employees follow the mechanical codes which have been written to protect the consumer's equipment and home. Since you will be using a certified contractor or HVAC technician, the industry standard is a one year labor warranty from the installing contractor. We also recommend that you consider purchasing a maintenance agreement from your installer to ensure efficient operation of your unit through the use of annual cleanings and inspections. Their knowledge and preventative maintenance care can prolong the life of your new unit. Air Conditioning Heating Source LLC does not in any way recommend or promote do-it-yourself installations. Purchasers must use a state certified installer/contractor to install their equipment purchase from Air Conditioning Heating Source LLC. Otherwise, purchasers will void all manufacturers' warranties and could cause harm to their equipment, themselves and their property. Air Conditioning Heating Source LLC does not provide installation of equipment and it is your responsibility to obtain a certified licensed contractor in your area to perform the installation of your new equipment. We recommend that you make these arrangements prior to ordering your equipment.
EPA NOTICE: Purchaser hereby acknowledges that federal law prohibits opening the refrigeration lines of any equipment purchases. A properly licensed technician must handle the refrigerant contained in any unit/system. Purchaser hereby assumes full responsibility for the safe and proper installation in accordance with applicable local code requirements.

Any suggestions that may be provided by Air Conditioning Heating Source LLC concerning system sizing and/or selection are subject to an onsite inspection by a knowledgeable professional to confirm suitability and fitness for your particular project.
LIABILITY: Air Conditioning Heating Source LLC cannot be held liable for damages consequential or inconsequential, resulting from the installation or operation of equipment. Any equipment purchased from Air Conditioning Heating Source LLC is not intended to be installed by anyone without the proper expertise, background and certification. Customer accepts all risk for both installation and equipment selection. We strongly encourage an on site inspection by a certified professional. Our advice is the result of information obtained by you and is limited in that Air Conditioning Heating Source LLC does not have full knowledge of the details and scope of your particular needs. Air Conditioning Heating Source LLC will do our best, given the limited circumstances under which our advice is administered, to provide you with accurate and up to date information. In the event that legal action is initiated by either party, (the customer or Air Conditioning Heating Source LLC) the point of venue shall be Clermont County, Ohio. Any liability for consequential and incidental damages is expressly disclaimed. Air Conditioning Heating Source LLC's liability in all events is limited to, and shall not exceed, the purchase price paid.
WARRANTIES: Air Conditioning Heating Source LLC does not provide a labor or parts warranty of any kind. All parts warranties are through the manufacturer and their distribution channels. By the installing contractor a labor warranty of one year is a standard in the industry and you should inquire about this with your installer prior to employment of said installer to install your new HVAC system. Should you require replacement parts during or after install, have your installer handle this process, as they should replace the warranty parts through a local parts supplier that sells the product brand name you have purchased. All systems have a manufacturer's limited parts warranty while labor is not covered under this warranty. Warranties will vary by SEER rating, efficiency rating and manufacturer, please check each product page for manufacturer's warranty. In the rare event that your installer cannot or will not replace the part under parts warranty, contact Air Conditioning Heating Source LLC and we will attempt to assist you in the acquisition of the warranty part through our distributors. Air Conditioning Heating Source LLC will provide this service for an administrative fee of $30.00 plus all shipping and handling. You will be charged the full price of the new part up front plus shipping and handling and will receive credit for the core part (not shipping) once the replaced part is returned and received by us. Air Conditioning Heating Source LLC will require the receipt for installation from your licensed installer in order to obtain this service. If you have any questions about this policy, please ask us prior to making your purchase. You enter into this agreement with the full understanding that Air Conditioning Heating Source LLC has no obligation whatsoever as to labor or parts warranty at any time. You are purchasing this system with the full understanding of and agreement to our policies contained herein.
SHIPPING POLICY: After receiving your order it will be carefully prepared for shipping by way of common carrier. All shipments will normally arrive at your specified location within 3 to 10 business days. Items not in stock or special orders will take a little longer. All orders are shipped fully insured as occasional damage may occur. You must carefully inspect your equipment at the time of delivery with the driver present. The carriers will not accept damage or shortage claims without a notation on the delivery receipt that damage or shortage exists. Once an order leaves the shipping dock it officially becomes the property of the consignee with all obligations attached. In no event shall Air Conditioning Heating Source LLC be responsible for damage incurred once the order leaves the facility. We will assist in the claims process for the damage noted at the time of delivery providing the customer submits a copy of the noted freight bill with the delivering driver's signature to Air Conditioning Heating Source LLC. In the event of severe damage noted at delivery, Air Conditioning Heating Source LLC will, at its sole discretion, file a claim with the carrier for the value of the damage or replace the damaged item. All determinations of repair value by Air Conditioning Heating Source LLC shall be final unless additional information is supplied to us that was not previously submitted by the customer. Damage not noted by the consignee at the time of delivery will in no way alter any previous agreements between the customer and Air Conditioning Heating Source LLC, regardless of value. In the event of damage not noted at delivery, concealed or otherwise, our sole liability shall be to assist the customer in obtaining a claim form to be filed with carrier. In the event that you receive your order with evident damage, immediately inspect it to determine if it is cosmetic or severe enough to affect the system performance. If damage is only cosmetic, you may accept the delivery and we will provide you with an estimate to repair the damage along with a carrier claim form for reimbursement. In the event that the damage is severe, simply refuse the damaged portion and we will immediately ship a replacement to you at no charge. Claims for damage must be submitted in writing to the delivering carrier and Air Conditioning Heating Source LLC within 10 calendar days from the date of delivery to be considered for reimbursement. Claims initiated after 10 calendar days will not be considered or assisted by Air Conditioning Heating Source LLC. Orders shipped outside the state of Ohio are non-taxable by Air Conditioning Heating Source LLC; however you may need to file a Use tax with your State Department of Taxation. Ohio residents please add appropriate sales tax for the county in which you reside. Air Conditioning Heating Source LLC will only ship within the Continental United States.
ORDER PROCESSING: Air Conditioning Heating Source LLC strives to have all stock equipment leave the warehouse within 3 to 4 business days. All items on our web site are normally in stock. However, Air Conditioning Heating Source LLC will not ship damaged equipment of any type; some equipment coming from the receiving truck may be refused and re-ordered if damaged. This may delay some orders in that case. This is very seldom but it does happen. Credit or debit cards are charged at the time of order as orders are sent quickly to the warehouse. If you need to cancel or modify an order, you must call our office by 5:00 pm EST the day of order and speak to a representative. After that time, order cancellation charges will apply. If the order has not been shipped this fee will be 20% of total order. If the order has been packed and not left the location the fee will be 20% plus a $35.00 packaging materials fee. If the order has left the warehouse the fee will be 20% plus a $35.00 packaging materials fee and all freight costs for outbound shipping to current terminal location and all return freight to return the order back to Air Conditioning Heating Source LLC. Please keep this in mind when placing your order. Processing orders involves time and resources to get our orders out as quickly as possible to serve all our customers in a timely manner. Please do not schedule your installer until you have received your equipment at your specified location. Air Conditioning Heating Source LLC cannot be responsible for missed appointments due to delay in equipment delivery. We make every effort to ensure prompt delivery but due to the nature of carrier freight some delays may happen from time to time. These include weather delays. Equipment selection is the sole responsibility of the buyer. Air Conditioning Heating Source LLC can give general assistance but without being on-site this can be difficult. The best way to determine what is needed is to ask your installer to review your equipment and assist in your Air Conditioning Heating Source LLC equipment selection. Air Conditioning Heating Source LLC is not responsible for equipment type and selection of orders.
